How to Become a Promotional Products Distributor in the USA or Canada

Every branded tote at a trade show, every logo pen on a bank counter and every company-store hoodie got there through a promotional products distributor. Distributors do not make anything. What a distributor actually does

A distributor owns the client relationship. You find the buyer (a marketing manager, an HR team, a school, a franchise), you quote, you collect the artwork and the purchase order, and you place the order with a supplier who produces and ships it. Your margin is the difference between the supplier's net price and what you charge. Most of the work is communication: proofs, deadlines, in-hand dates and the occasional reorder. The product knowledge comes with time, and a good supplier will carry you through the early orders.

Step 1: register the business

In the USA, most new distributors form an LLC in their home state and get a free Employer Identification Number (EIN) from the IRS. You will also need a sales tax permit from your state, which comes with a resale certificate. That certificate is what lets you buy from suppliers without paying sales tax, because your client pays it when you invoice them. Keep a copy handy; every supplier will ask for it when you open an account.

In Canada, you can register a sole proprietorship with your province or incorporate provincially or federally. Get a Business Number from the Canada Revenue Agency. Once your sales pass the small-supplier threshold (currently $30,000 in a rolling four-quarter period) you must register for GST/HST, and many distributors register from day one so they can claim input tax credits on what they buy. Provinces with PST (British Columbia, Saskatchewan, Manitoba) and Quebec's QST have their own registrations. An accountant who knows small resellers is money well spent in year one.

Step 2: join the industry

The promotional products industry runs on membership. In the USA, ASI (Advertising Specialty Institute) and PPAI (Promotional Products Association International) are the two big networks. In Canada, PPPC (Promotional Product Professionals of Canada) is the national association, and many Canadian distributors also carry an ASI number because so many suppliers use it as a trade credential. SAGE is the research platform most distributors search to find products and pricing; ESP is ASI's equivalent. Membership is not legally required, but without a distributor number many suppliers will not open a trade account, and you will not get supplier pricing. Budget for one membership in your first year and add the second when the volume justifies it.

Step 3: understand supplier pricing

Suppliers publish quantity-break pricing. The more units on one order, the lower the per-piece cost. Distributors then mark up to the end-buyer price. The classic industry rule is a 40 percent margin, though real margins move with quantity, decoration and how much rush is involved. Two things bite new distributors: freight and duties. A price that looks great on a screen can lose its whole margin once the carton crosses the border and the broker's invoice arrives. Always ask a supplier whether the price is landed, and quote your client only on landed cost.

Step 4: set up your selling tools

  • A product search your clients can browse, either your own site or a supplier catalog you can send with your name on it.
  • Virtual proofs. A logo mocked up on the product closes more deals than a spec sheet ever will.

Generalists compete with every other distributor on price. Niches win: schools and sports teams, real-estate closing gifts, medical clinics, trades and safety, franchise systems, non-profit fundraising. Start with the people who already trust you. Former employers, your kids' league, the association you belong to. Ask what they ordered last year and quote it better. Ten orders teach you more than any course.
